Job duties:
Carry out secretarial duties including the typing of letters; memos; reports, which may include charts, graphics, etc; production of PowerPoint presentations.
Cash handling duties and associated paperwork including receipt of payments, operation of cash system and the safe keeping and lodgement of such monies in accordance with Council procedure.
Responsibility for computerised booking systems and diaries for bookings, including carrying out necessary follow up actions regarding booking requirements.
Responsible for the administration of the Time Management System, including updating of computerised and manual records.
Attend and service meetings to record proceedings and decisions taken. Compose minutes and carry out follow up actions.
Carry out administrative and clerical duties including filing, arranging meetings, processing and orders.
Responsible for the processing of invoices.
Assist with the administration of processing of accounts receivable.
Provide reception duties, operating the Councils switchboard.
Data input to / retrieval from, maintenance and creation of databases and information management systems, as required.
Provide desktop publishing service for the production of any newssheets, flyers, etc.
Assist in the administration of PR / Communication / Marketing campaigns and events.
Maintain / retrieval from record keeping systems using databases, spreadsheets, manual filing systems, ensuring documentation dealt with is appropriately referenced and filed correctly.
Deal with the incoming / outgoing post.
Answer telephone and caller enquiries, taking messages, directing callers and providing any appropriate information to answer queries where possible.
Responsible for maintaining and updating diary/ies, setting meetings, sending out meeting notices and communicating changes etc to appropriate officers.
Assist with the preparation of reports and statistics as may be required, including the carrying out of research as directed, using information management systems, internet, or other appropriate sources.
Assist with the management of office supplies.
Participate as a team member within allocated area to assist with general improvements in systems, procedures and general service delivery, within the Councils overall interests.
Operate, and maintain operationally, a range of office equipment to include PCs, audio equipment, photocopy, scanner, franking machine, switchboard, binder, shredder, punchers, etc.
